Privacy Policy

This policy explains what information HomeHeroes collects, how we use it, who we share it with and the choices you have. It covers the HomeHeroes portal at app.hirehomeheroes.com, BookingHero, and the texts, calls, chats and emails we handle for the contractors who use HomeHeroes.

If you connect Google Calendar, section 5 explains exactly what HomeHeroes receives from Google and the limits on how we use it.

1.Who we are

HomeHeroes provides software and lead generation for home-service contractors such as plumbers, electricians, HVAC companies and roofers. Contractors use HomeHeroes to receive homeowner leads, answer them with BookingHero, our AI agent, and book estimates onto their calendars. In this policy, “HomeHeroes”, “we” and “us” mean HomeHeroes.

We play two roles. For a contractor’s own account, such as the owner’s name, login and billing details, we decide how that information is used. For the homeowners a contractor talks to through HomeHeroes, we handle their information on the contractor’s behalf and follow the contractor’s instructions. If you are a homeowner, the contractor you contacted is responsible for how your information is used, and you can still contact us directly at any time.

2.Information we collect

Contractor account information

When a contractor signs up, we collect the owner’s and team members’ names, email addresses and phone numbers, the business name, trade, services, service areas and ZIP codes, business hours, and the prices, policies and documents you give BookingHero to answer from. We also keep a record of the agreements you accept. Stripe processes card payments, and we never see or store full card numbers.

Homeowner and lead information

When a homeowner asks for help through a contractor’s website form or chat, a phone call, a text message, HomeHeroes advertising, or a lead platform such as Thumbtack, Angi, Yelp, Google Local Services or Facebook, we receive what the homeowner provided. That is usually a name, phone number, email address, street address or ZIP code, and a description of the job.

Messages and calls

We keep the content of texts, chats and emails between homeowners, contractors and BookingHero, so the contractor has the full history of each conversation. For phone calls we keep the numbers, time and length of the call, and where the contractor has turned it on, the recording and a transcript.

Information from connected services

A contractor can connect other tools to HomeHeroes. From Google Calendar we receive only what section 5 describes. From field-service software such as Housecall Pro and ServiceTitan we receive the customer, job, estimate and appointment records needed to keep bookings in sync and to report which leads became paid jobs.

Usage and device information

When you use the portal, our servers record your IP address, browser type, sign-in times, the pages you open and any errors. We use cookies to keep you signed in and to remember settings such as dark mode. The portal does not use advertising cookies.

3.How we use information

We use the information above to run HomeHeroes for the contractors who use it:

  • to deliver leads that match a contractor’s services, ZIP codes and budget
  • to let BookingHero answer leads, ask about the job and book estimates at open times
  • to send contractors and their teams email and text alerts about new leads, bookings and account activity
  • to bill for the software plan and lead budgets, apply lead credits and review lead disputes
  • to give support when you contact us
  • to keep accounts secure, prevent fraud and spam, and enforce our Terms of Service
  • to understand how the portal is used and fix problems, using usage records and aggregated reports (this never includes Google user data, which section 5 covers)
  • to meet our legal obligations

We do not use homeowner information a contractor brings to HomeHeroes to market to that homeowner for anyone else.

4.How BookingHero uses AI

BookingHero writes and sends replies with a large language model from Anthropic. To write a reply, HomeHeroes sends the model the conversation so far, the job details the homeowner gave, and the contractor’s business information such as services, hours, prices and policies. When a calendar is connected, the model receives the open appointment times HomeHeroes worked out, never the contents of calendar events. We also use the same provider to read the text of scanned documents a contractor uploads for BookingHero to answer from.

Anthropic processes this information to return a reply to us. Under its commercial terms, Anthropic does not use it to train its models, and keeps it only for a limited period for safety and abuse monitoring.

BookingHero speaks for the contractor’s business. Each contractor decides when BookingHero answers, can read every message it sent, and can take over any conversation. When BookingHero cannot answer a question, it hands the conversation to the contractor’s team.

5.Google user data

A contractor can connect a Google Calendar so BookingHero books estimates without double-booking them. This section covers the information HomeHeroes receives from Google through that connection, which Google calls “Google user data”. Nobody else’s calendar is involved, and a homeowner never connects a Google account.

What we store

We store the connected Google account’s email address, the name and ID of the calendar you picked, the IDs of the events HomeHeroes created, and the refresh token Google issues for the connection. The refresh token is encrypted in a secrets vault and never shown in the portal. We also keep the start and end times of your busy periods, refreshed about every ten minutes, so BookingHero can offer a time without waiting on Google. Those records hold times only. We do not store access tokens, and we do not keep a copy of your events.

How Google user data is used and shared

HomeHeroes uses Google user data only to provide the scheduling features you see in the portal: offering open times, adding bookings to your calendar, and showing which account and calendar are connected. The open times BookingHero offers a homeowner are sent to our AI model provider as part of writing the reply, as section 4 describes. We do not transfer Google user data to anyone else, except as needed to comply with the law, to protect the security of HomeHeroes and its users, or as part of a merger or acquisition after we notify you.

HomeHeroes also keeps to these limits.

  • HomeHeroes does not sell Google user data.
  • HomeHeroes does not use or transfer Google user data to serve ads, including retargeting, personalized or interest-based ads.
  • HomeHeroes does not use Google user data to decide credit-worthiness or for lending.
  • HomeHeroes does not use Google user data to develop, improve or train generalized AI or machine-learning models.
  • HomeHeroes does not let people read Google user data unless you give us permission for specific data (for example, to fix a support problem you reported), it is necessary for security, such as investigating abuse, it is needed to comply with the law, or the data has been aggregated and anonymized for internal operations.

HomeHeroes' use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Read the policy at https://developers.google.com/terms/api-services-user-data-policy.

Disconnecting Google Calendar

You can disconnect Google Calendar at any time from the Integrations page in your portal. When you do, HomeHeroes revokes its access with Google and deletes the stored token, your calendar choice and the busy times we kept. You can also remove HomeHeroes from your Google Account at myaccount.google.com/permissions. Events HomeHeroes already added stay on your calendar until you delete them.

6.How we share information

We share information only in these cases.

With contractors

A homeowner’s request goes to the contractor the homeowner contacted. When a homeowner asks for service through HomeHeroes advertising, we send the request to contractors who offer that service in the homeowner’s ZIP code, so they can contact the homeowner about the job.

With the providers that run HomeHeroes

These companies process information for us, under contracts that limit them to providing their service to HomeHeroes:

  • Supabase stores our database and uploaded files and runs sign-in.
  • Railway hosts the HomeHeroes application and our website chat service.
  • Anthropic provides the AI model that writes BookingHero’s replies and reads scanned documents.
  • Twilio provides phone numbers and carries calls and text messages.
  • Resend delivers our email.
  • Stripe processes payments and billing.
  • Google provides Google Calendar, when a contractor connects it.

When a contractor connects Housecall Pro, ServiceTitan or another tool, we send that tool the customer, job and appointment details needed to keep it in sync. That tool’s own privacy policy covers what it does with the information.

For legal reasons and business changes

We disclose information when the law requires it, to respond to valid legal process, or to protect the rights, safety and security of HomeHeroes, our users or the public. If HomeHeroes is involved in a merger, acquisition or sale of assets, information may move to the new owner, who must keep honoring this policy. We will tell you before that happens.

We do not sell personal information to data brokers, and we do not share it for targeted advertising.

7.Text messages and your consent

If you are a homeowner who contacted a contractor that uses HomeHeroes, you may get texts from that contractor’s number about your request, including replies, appointment confirmations and reminders. Some of these are written by BookingHero for the contractor. Message frequency varies with your conversation, and message and data rates may apply.

Reply STOP at any time to stop texts from that number. We send one message confirming you are opted out and nothing more unless you reply START. Reply HELP for help, or email us. Contractors who get lead alerts by text can reply STOP the same way or change their alerts in the portal.

We do not share mobile phone numbers or text-messaging consent with third parties or affiliates for their marketing or promotional purposes.

8.How long we keep information

We keep a contractor’s account information, leads and conversations while the account is open, so the contractor has a complete record of every job. A contractor can ask us to delete conversations and leads sooner.

When a contractor closes their account, we delete or anonymize their information within 90 days. We keep billing and tax records for as long as accounting and tax law requires. Google Calendar tokens go sooner, the moment the calendar is disconnected or the account closes, and anything we delete drops out of our backups as they roll over on their regular schedule.

9.How we protect information

Information is encrypted in transit between your browser, our servers and our providers, and encrypted at rest by our hosting providers. Integration tokens, including Google refresh tokens, are kept in an encrypted secrets vault. Database access rules keep each contractor’s information separate from every other contractor’s, and our staff can see an account only when they need to support it. Staff actions in customer accounts are logged.

No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.

10.Your choices and rights

You can ask us to show you the personal information we hold about you, correct it, delete it, or give you a copy to take elsewhere. Contractors can update most account details and disconnect integrations in the portal. For anything else, email matthew@hirehomeheroes.com.

If you are a homeowner and we hold your information for a contractor, we will pass your request to that contractor and help them answer it. We confirm your identity before acting on a request, and an authorized agent can make a request for you with your written permission.

Residents of California, Colorado, Connecticut, Virginia and other states with privacy laws may have more rights, such as the right to know what categories of information we collect and to opt out of certain uses. We respond to requests within 45 days and never treat you differently for making one.

11.Children

HomeHeroes is a service for businesses and is not meant for anyone under 18. We do not knowingly collect information from children under 13. If you believe a child has given us information, email us and we will delete it.

12.Changes to this policy

When we change this policy we post the new version here with a new date. If a change is significant, we tell contractors by email or in the portal before it takes effect. We will ask for your consent before using Google user data in a way this policy does not already describe.
